collaboration and/or the requirement to perform all work onsite due
to the nature of this particular role, it will be performed
full-time on site. This means work will be conducted on location at

with BAE Systems.Electronic System's C4ISR business area is seeking
a highly motivated Administrative Assistant to provide support to
the business leadership team members as needed. The position
requires executive communication skills, strong collaboration, a
high level of judgement, strong organizational skills, tremendous
attention to detail and the ability to meet tight deadlines while
balancing multiple priorities. This position requires a high level
of integrity and discretion in handling sensitive information. This
role will also operate as part of a highly collaborative
administrative team, ensuring seamless leadership team coverage and
support as required.Administrative Expectations:
- Physically on-site in Manassas facility 3-4 days a week
- Pro-actively manage my calendar and de-conflict PL/BA/ES
meetings as necessary for effective and efficient time
management
- Book travel and make changes as necessary
- Proactively and accurately complete expense reports
(pre-expense airfare as soon as it is booked; finalize remainder of
report upon return)
- For the executive conference room, confirm VTC / MS Teams is
set-up 5 minutes prior to meeting start
- Schedule meetings as requested - e.g. PMRs, PDRs,
All-hands
- Plan and execute staff meetings
- Manage, record, and disseminate meeting action items
- Submit visitor requests - incoming / outgoing
- Catering requests as required
- Booking conference rooms for internal/external meetings
- Customer meetings - Logistics support for meetings (parking,
visitor info, clearances, signs, food, internet access, hardcopies,
action item/attendee sheets)
- Coordination and execution of PL all-hands meetings
- Coordination of offsite meetings
- Maintains supplies for assigned areas to support staff
needs
- Furniture/Maximo requests and support execution as needed
- Knowledgeable on company policies or know where to find and
refer when asked
- Provides general administrative support to the leadership team
and employees
- Other duties as required
- Coordinate copier/printer room and facilitate any issues with
that equipment.
- Point of Contact for Site ES Communications
- Help arrange/implement site events (picnic, Holiday Party,
Summer Days, Employee Welcomes, Nationals tickets, Wednesday
breakfasts, etc.)
- Accurately plan and send out Daily MANCOMM
- Help manage site budget.
- Takes minutes and follows up on actions for various Site
meetings -- SHE Council, IMT, Managers Meeting, Manassas Council,
etc.
- Maintains Site Closure phone notification.
- Contact with ES Charitable giving group.Please note that
pursuant to a government contract, this specific position requires
US citizenship statusRequired Education, Experience, & Skills
- A minimum of four (4) years directly related experience or a
High School diploma and eight (8) years of experience. A minimum of
three (3) years supporting Executive level leaders.Preferred

- Travel Management Pay InformationFull-Time Salary Range: $60390
- $96580Please note: This range is based on our market pay
structures. However, individual salaries are determined by a
variety of factors including, but not limited to: business
